This article provides educators with a series of recommendations for obtaining parental consent for student surveys. It also includes a collection of tools to support districts in administering surveys to as many students as possible to ensure a representative sample.

Why Parental Consent Matters

Effective communications and consent-gathering processes are core to the success of your survey program. Obtaining parental opt-ins for student surveys ensures alignment with local requirements in your state along with a high-quality representative dataset, strong participation rates, and a transparent and trust-building experience for the entire school community.

Here’s what a strong opt-in strategy helps you achieve:

  • Align with your state’s parental consent laws

  • Collect a high-quality, representative dataset for more meaningful analysis

  • Increase student participation rates, leading to more complete insights

  • Build trust and transparency with families through clear communication and privacy protections

1. Map Out a Plan

  • Form a small team (e.g., comms, legal, registration, family liaisons).

  • Choose tools families already such as ParentSquare, mailers, or digital forms.

  • Decide which surveys and grade levels require opt-in, and set a clear deadline.

Keep in mind: Your goal is a list of student ID numbers for students who have opted in.

2. Communicate and Share the Why

  • Clearly explaining the purpose of the survey is very important.

  • Explain how survey results will support student success, safety, and well-being.

  • Share when the survey will happen and when results will be available.

  • Give families a chance to preview survey questions.

  • Be transparent about data privacy and that Panorama never sells or markets student data.

3. Build on Existing Family Touchpoints

  • Collect opt-ins during back-to-school registration to reduce extra steps.

  • Include consent forms in registration packets, handbooks, or family events.

  • Use familiar tools like ParentSquare, ClassDojo, or printed forms.

  • Offer both digital and paper options, plus clear instructions and a contact person.

  • Be sure to follow your state’s opt-in/opt-out rules and share survey questions when required.

4. Manage Survey Participation

  • Use Panorama's managing participation tool to update student participation at any point:

    • Before or after surveys are generated

    • While the survey window is open

    • After the survey closes

5. Make Survey Questions Accessible

  • Check your state’s requirements—some require families to preview survey questions before giving consent.

  • Export your Panorama survey questions as a PDF to share on your website or via email.
