Survey Coordinator Toolkit

  • Updated

Welcome, Survey Coordinator!

Thank you for taking on this role. As a Survey Coordinator, you help make your school's survey process possible through organization and coordination.  Your planning and communication before, during, and after the survey window will allow students, families, and staff to participate fully and share their experiences.

Your work happens across three phases:

Before the survey window, you set the foundation by coordinating the timeline and logistics, communicating details to staff and proctors, ensuring survey links and access codes are ready, and helping prepare families and students.

During the survey window, you keep things moving by supporting proctors, monitoring response rates, sharing completion lists, and following up to maintain momentum. You also help ensure that students who need accommodations or make-up time have what they need to participate.

After the survey window, the results you helped generate become available in Panorama for your school and district leaders to explore and act on.

Your core responsibilities:

  • Communicating survey details (who, when, where, what, and why) to all relevant staff and community members
  • Providing access codes or survey links for students, teachers, staff, and families
  • Coordinating technology and logistics so all respondents can participate
  • Arranging make-up opportunities for students who did not complete the survey during the window
  • Monitoring response rates throughout the survey window

If you are new to this role, start with the Survey Coordinator Training for a full walkthrough of what to expect. Your Panorama team may also share checklists and resources specific to your school or district.

As a best practice, please complete the survey set-up process 2 to 3 weeks prior to your intended launch date. This gives Panorama’s technical teams time to troubleshoot any issues.
